Commission Policy
Thank you for your interest in commissioning artwork from SilentPetal Studio. This Commission Policy outlines the terms and conditions that govern the request, creation, and delivery of commissioned artwork. By submitting a commission request, you agree to the terms set forth in this policy.
1. General Guidelines
- Commissions are accepted at the artist's discretion.
- You must be at least 18 years of age or have permission from a parent or legal guardian to request a commission.
- All communication regarding commissions must be conducted respectfully and professionally.
- We reserve the right to decline any commission request for any reason
2. What Will and Will Not be Drawn
What the artist WILL draw:
- Original Characters
- Fan art (within fair use)
- Portraits and stylized illustrations
- Fantasy creatures, animals, or hybrids
- Concept art and reference sheets
- Light gore (tasteful/stylized, subject to approval)
- Romantic themes (PG-rated only)
- Custom design work (e.g. logos, banners, emblems)
What the artist WILL NOT draw:
- NSFW or sexually explicit content
- Fetish art
- Extreme gore or violence
- Hate symbols, offensive content, or discriminatory themes
- Copying another artist's style or plagiarizing existing art
- Illegal or harmful subject matter

3. Commission Process
The general process is as follows:
1. Inquiry: You fill out the commission request form or email/message us with your idea.
2. Quote: We review your request and respond with pricing and an estimated turnaround time.
3. Approval: Once you approve the quote, we will confirm your commission and provide an invoice.
4. Payment: Payment must be made upfront (either in full or 50% upfront, 50% on delivery depending on the arrangement.
5. Creation: The commission is created based on the agreed specifications. WIPs (work-in-progress updates) may be sent depending on the complexity.
6. Delivery: Final artwork is delivered digitally in high resolution via email
Please note that physical items (such as prints or canvases) are not included unless explicitly stated and agreed upon.
4. Turnaround Time
Turnaround times vary based on the complexity of the piece, current queue, and communication speed. Estimated timelines will be provided upon request confirmation. In general:
- Simple pieces: 1-2 weeks
- Medium complexity: 2-4 weeks
- Complex/full illustrations: 4-6 weeks
Delays may occur due to personal emergencies, holidays, or other unforeseen circumstances. Clients will be notified promptly in the event of any delays.
5. Revisions
- Small revisions are included at no additional cost during the sketch or WIP stage.
- Major revisions (e.g. pose changes, complete reworks) may incur additional fees depending on the stage of the project.
- Once the final artwork is approved and delivered, no further edits will be made unless an agreement is reached for post-delivery changes.
6. Usage Rights
Artist's Rights:
- The artist retains all rights to the commissioned work including, but not limited to, the right to post it online, use it for self-promotion, portfolios, and future commission examples (unless otherwise agreed)
Client's Rights:
- You may use the commissioned artwork for personal, non-commercial purposes such as:
- Displaying on social media with credit
- Printing for personal use
- Using as profile pictures, banners, etc. (with credit)
You MAY NOT:
- Alter the artwork significantly or remove the artist's watermark/signature
- Claim the artwork as your own
- Sell, redistribute, or use the artwork for commercial purposes (e.g. merchandise, NFTs, book covers) unless a separate commercial use agreement is made in writing
Commercial licenses are available upon request and will include additional fees.
7. Cancellation and Refusal
- The artist reserves the right to cancel a commission at any time. If payment has been made and work has not yet started, a full refund will be issued.
- If the client cancels after work has started, a partial refund may be provided based on how much work has already been completed.
- No refunds will be provided after the final piece has been delivered.

8. Communication
- All correspondence related to commissions will be conducted via email.
- Please respond to requests for clarification or approval in a timely manner. Failure to reply within a reasonable time may delay or void your commission.
9. Confidentiality & Private Commissions
- If you would like your commission to remain private or not shared online, please let us know before work begins. Additional fees may apply for private commissions.
- We respect your creative ideas and any sensitive personal details you provide; however, please avoid sharing unnecessary confidential information.
Refund and cancellation Policy
At SilentPetal Studio, we strive to ensure that all commissioned work and services meet or exceed our client's expectations. However, due to the custom and digital nature of our offerings, we have specific guidelines regarding refunds. By commissioning a service or making a purchase, you agree to the terms outlined in this Refund Policy.
1. Overview
All artwork, commissions, and design services provided by SilentPetal Studio are made-to-order and created by hand or through digital tools specifically for the individual client. As such, refunds are limited and handled on a case-by-case basis depending on the stage of completion and the type of purchase.
2. Eligibility for Refunds
Refund eligibility depends on how far along the work is in the process at the time of cancellation. The following applies:
a. Before work has started
- If you request a refund before any work has begun, you are eligible for a full refund minus any processing or transaction fees (if applicable)
b. During the sketch or early draft phase
- If you request a refund after sketches or rough drafts have been delivered, you may be eligible for a partial refund (typically 50%) depending on the time already invested.
c. During finalization or rendering
- If the commission is more than 50% complete or has reached the rendering/coloring stage, refunds are generally not issues, though partial refunds may be considered in exceptional cases.
d. After final delivery
- Once the final artwork has been delivered, no refunds will be provided, as the service has been fully rendered and completed.
3. Non-Refundable Circumstances
You are not eligible for a refund in the following cases:
- You are unsatisfied with the final result after approval of early stages (especially if revisions were offered and declined or ignored)
- You failed to respond in a reasonable time (typically within 10-14 business days) and the commission was canceled due to inactivity
- The refund is requested due to a change of mind or personal circumstance unrelated to the commission itself
- You provided incomplete, unclear, or misleading information which affected the outcome of the work
-You are requesting a refund for a physical product that has already shipped and is not defective
4. Artist's Right to Cancel & Refund
We reserve the right to cancel a commission or order at any time for any reason, included but not limited to:
- Inappropriate behavior or harassment
- Breach of any terms of the Commission Policy
- Inability to continue due to personal, health, or emergency reasons
In such cases:
- If no work has begun, a full refund will be issued.
- If partial work has been completed, a partial refund will be issued based on the amount of work done.
5. Processing and Timeline for Refunds
Refunds, when granted, are processed as follows:
- Refunds will be issued to the original payment method.
- Allow up to 7-10 business days for funds to return to your account depending on your payment provider.
- All refunds are subject to deduction for processing fees imposed by the payment platform, which are typically non-refundable to the artist.
If you have not received your refund after the allotted time, please contact your bank or payment provider first. If further assistance is needed, reach out to us directly.
6. Chargebacks and Disputes
Initiating a chargeback or dispute without contacting us first to resolve the issue is a violation of this policy and may result in:
- Backlisting from future commissions
- Revocation of usage rights to any work delivered
- Reporting to other artists, platforms, or communities to warn of bad faith transactions
We are committed to fair and professional resolutions and strongly encourage you to communicate concerns before escalating.
7. Physical Products
If your purchase involves a physical item (e.g. print, canvas, merchandise), refund eligibility is subject to the following:
- Refunds for damaged or incorrect items will be handled through the delivery carrier or manufacturer.
- You must report the issue within 7 days of receiving the item with clear photographic evidence.
- Shipping fees are non-refundable unless the error was on our end.
- We do not accept returns or exchanges for buyer's remorse or sizing errors
